I. Approve minutes from last meeting

Approved unanimously

II. Discuss a policy when board members are absent.

The chairman and at least 2 other board members must be present to establish a quorum.

If board chairman is absent, and the members in attendance wish to continue with scheduled meeting, all major decisions such as ones pertaining to money or authority structure, must be postponed till quorum is established.
Voting by proxy is also acceptable.

Charles makes a motion to give Mr Courter the funds that he needs to build the things for Shop times (ie carts for the benches) Approved unanimously

IV. 2018 Schedule

Keeping the schedule from 2017 is approved with the following two modifications. 1. The encampment stage schedule will be majorly cut back or entirely removed.  2. The Courthouse stage will have only three speaking slots. Those time slots are: 11, 1, and 3:15

Friday, September 28th:

1:00pm-8:00pm — registration & setup in encampment
5:00pm-8:00pm — set-up in vendor area
6:00pm-7:00pm — reenactor & volunteer dinner in encampment (with SINGING SLOT)
8:15pm-10:15pm — outdoor film showing (open to public). Film is yet to be selected

Saturday, September 29th:

7:00am-4:00pm — registration and information booth open in encampment
7:00am-6:00pm — dinner tickets for sale at registration in encampment
8:30am – battle briefing at encampment stage (mandatory for battle reenactors)
9:00am-4:00pm – Café de Normandie, Stars and Stripes Canteen, vendors, encampment, victory roll tent, vet alley, and vehicle display open to public
11:00pm & 1:00pm – vintage vehicle rides (Pickup locations can be found on event map. Donations appreciated.)

Courthouse Stage & Square:

10:00am – battle reenactment
10:45am – opening ceremony at courthouse stage
11:00am  – ___ & live music
11:45am – official event photo with all WWII Veterans in front of courthouse
12:00pm – live music by Merchants of Cool Big Band; lunch available for purchase from local VFDs
1:00pm –  ____ & live music
(2:00pm– special music?)
2:30pm — Veterans’ Parade with fly-overs if possible
3:15pm – A Conversation with History & live music
4:00pm – battle reenactment,
4:20pm—closing ceremony, and memorial for fallen veterans from Perry County

Dinner & USO-style Show (in Encampment):
Evening attire encouraged. Ticket required for meal (limited quantity available for purchase in the Registration Booth till 6:30pm or until sold out) — others welcome to come listen.

6:30pm — volunteer photo specify location
6:30pm — dinner lines open
7:00pm-7:30pm — evening ceremonies during dinner
7:45pm-9:15pm — DANCE DANCE DANCE
9:10pm — fireworks display

Sunday, September 30th:
10:30am — Baptist church service
11:30am — break for lunch, encampment teardown & picnic


V. Other items of business and updates.

  • We desperately need a Vol Cordinator and an Event Cordinator
  • Over 70% of the money donated to the event is donated before the event by local business of Perry county. Mr. C wants to run a half page thank you note in local paper expressing our gratitude to the local community. Cost is $242.55 Approved unanimously
  • Mr C is corresponding with Dale Stolfus about writing an article for the event guide.
  • Apex Bank has invited RWWII to sing at their 4th of July customer appreciation dinner on June 30 from 3:00 to 6:00 and for Veterans Day meal held on Nov 1 from 11:00 to 1:00
  • Look into encouraging non scheduled spontaneous singing/playing/dancing in the streets and in encampment area
