Board Minutes, Jan 20th 2017

On January 10 the department heads voted for board members.  The results were announced January 11. The following men were elected.

Board Members:

  • Anthony Courter (Mr. C)
  • Wayne Verret (Mr. V)
  • Zach DuBois (Mr. D)
  • Charles Vernier (C)
  • Thomas Wilson (T)

First Board Meeting held January 18, 2017.

I. Officers to be Appointed:  Secretary, Treasurer, and Chairman.

A. Thomas appointed Secretary (unanimously)

B. Mr. Courter appointed Chairman (unanimously)

C. Mr. DuBois appointed Treasurer (unanimously)

II. Establish board rules for conduct, purpose, authority, limitations, term, etc. of board  (This area is going to take time and situations to help us determine most of these areas.)

A. 1st rule of the board:  stay on topic.

B. We herby agree to agree in all that we can; and in that which we cannot, we agree to disagree agreeably.

C. The purpose of the board:  to give foresight, oversight and insight.

D. How are decisions made? Either majority vote or as an advisory board to the Chairman?

Mr. D Majority rule, T Advisory board, C Advisory board, Mr. V Advisory board. 

Decision: Advisory board (but it will be able to be changed in future).

E. Will meetings be open or closed?

Decision: All meetings are open unless otherwise specified (unanimous).  (We need to have close meetings at times).

F. How often should the board meet?

Decision: At least once a month (unanimous).

G. Electing Board Members

1. Qualifications for election (Decision: unanimous)

  1. They are willing to serve.
  2. They have time to serve.
  3. They already wholeheartedly share in RWWIIs Vision and Mission Statement.
  4. They have been involved at some level with RWWII in the past.
  5. They’ve not already backed out and now want back in.  This includes anyone who’s openly stated they will not be involved because they lost faith in RWWII’s primary vision and mission and/or has unresolved issues within RWWII.
  6. They live close enough to travel for face to face meetings as often as possible.
  7. Their involvement on this level is agreeable to the majority of the rest of the board.
  8. They are known to some degree for commitment, unity, community, involvement, and leadership.
  9. They are men.  The normative in God’s created order, the home, and the Church is for God to use men tot lead.  He has used women in the past to lead, but those exceptions to the rule have always been when men were either unavailable at the time or unwilling to lead.

2. Terms of Board members

Decision: Board members will serve 1 year term with elections in the beginning of Dec (unanimous).

3. Election timing: 

Decision:  during Month of December

4. Who is eligible to vote?   To be discussed next month

5. How, if ever, are board members removed?  To be discussed next month

Mr. C will research concerning 4 & 5 and other further board rules and present at the next meeting.

III. Finish Vision and Mission statements

Passed the mission and vision statement as last stated (unanimous).  See attachment.

IV. Set official date(s) for 2017. These dates will be printed on all RWWII’s material

Decision: Sep 22-23 with a service on Sunday and will be on the schedule and Reenactors will be invited with their registration packet (unanimous).

V. Spreadsheet (Organizational layout), Website, Graphics

    1. Spreadsheet:  The spreadsheet that Jessica and Ellen worked on needs to be updated and put in a usable format.  Ask Mr. Lemmon to manage the spreadsheet (unanimous).  Acquire Microsoft access and pc for him to use (unanimous).
    2. Website:  Ask Jessica Boyer to manage.
    3. Graphics:  Mr. D will ask Isaac B to create new poster

VI. Discuss concerns a local church has concerning RWWII’s leadership and the amount of time their members invest into RWWII. 

Decision:  Thomas agreed to draft a document that would state RWWII’s affiliation, accountability, and vision & mission to be considered at the next board meeting. 

VII. Discuss Event Coordinator and Volunteer Coordinator
We will send out a memo asking if any one is interested in either of these positions with job descriptions (update next meeting).

VIII. Confirm 2017’s Theme (2014 Army, 2015 Navy, 2016 Air Corp)

Decision: 2017 Marines (unanimous).

IX. Budget

To be discussed next meeting.

X. Goals for department heads, volunteers and leadership

Why do we do the event to begin with, what is the goal?  To learn and teach others to love history.

XI. Baseball game?  If so, when?

Decision: Friday early afternoon. Time, to be determined (unanimous).

XII. Do we want to try and have a joint service on Sunday with First Baptist Church?

Decision: Yes, provided RWWII has input into selecting the speaker and the songs.

XIII. Music.  Should RWWII extend an invitation to Faith Phillips?

Decision:  After a closed meeting discussion on topic, board voted unanimously to extend invitation to Faith to come sing in music program.

XIV. Next meeting:  Feb 15th 5:30
